Office Manager at Veran Medical
St. Louis, MO, US

We’re looking for a Office Manager to receive and interact with our visitors, provide general administrative support including booking travel and arranging meetings, provide general office duties including handling mail and incoming checks, cleaning and stocking our break room, and arranging internal lunches. This person will also assist sales operations by reviewing purchase orders received from our customers for completeness and accuracy and provide general customer service related to incoming orders.

Responsibilities:

  • Provide general administrative support to the Corporate Office and Leadership Team by:
    • Receiving and interacting with visitors
    • Answering and managing incoming calls
    • Booking travel and hotels for out of town guests
    • Arranging meetings and conference calls (including coordination of meeting invites, all meeting logistics, travel arrangements, preparation of meeting materials, etc.)
    • Ordering in-office lunches for meetings and training classes, cleaning up afterward and removing trash when needed
    • Providing other daily support as needed
  • Perform general office management duties, including:
    • Managing the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed
    • Sorting and distributing mail and packages delivered to the front desk
    • Opening, endorsing, and logging all incoming checks, reporting information to accounting, and sending hard copies via FedEx to Lock Box operation center daily
  • Cleaning break room daily, as well as taking inventory of the supplies, ordering, and restocking
  • Monitor purchase order mailbox 
  • Review PO’s for accuracy before sending to operations and associated sales representative for order processing
  • Work with hospital purchasing to confirm details and revise purchase orders when inaccurate
  • General customer service related to purchase orders

  • Ability to communicate with all levels of management
  • Associate’s Degree or better preferred
  • Experience in an office setting preferred
