Administrative Assistant Scientific Leadership Team at CODA Biotherapeutics

CODA Biotherapeutics is an early-stage venture backed biotechnology company located in South San Francisco, California. Our chemogenetics platform aims to treat neurological indications through modulation of specific target cell activity utilizing engineered ligand gated ion-channels delivered via gene therapy. The engineered ligand-gated ion channels are designed to interact with defined small molecule therapeutics and act as a switch to activate or inactivate specific neuronal populations as a means for treating neurological diseases. 

 

This position will manage a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.

Primary Responsibilities

●        Responsible for all administrative duties in support of the Company’s Scientific Leadership team and other colleagues as needed

●        Prepare, modify, and publish complex presentations and other communications using Word, Excel, PowerPoint and related web-based programs 

●        Research and book both domestic and international travel arrangements

●        Prepare expense reports as needed for the executive and the team

●        Procure meals as needed for meetings and events

●        Partner with the CEO’s Executive Assistant for coverage, projects, and unified communication

●        Coordinate all aspects of the Leaders’ schedule, maintaining Outlook calendars and supporting meeting arrangements as requested

●        Requires thorough knowledge of company operations, policies, and procedures and knows how to handle sure details in a confidential manner

●        Prepare and organize pre-meeting and post-meeting materials and reports as needed

●        Manage conference submissions (papers, talks, posters) for team

●        Facilitate conference calls and web-based meetings ensuring communication with participants in terms of scheduling

●        Promptly and efficiently answer executive phones, screening access and taking messages as appropriate;  support main office telephone calls on a secondary basis, directing to the appropriate person

●        Assist with visitor check-in and management, including working with HR to handle any transitions in the interview process

●        Coordinate essential documents, such as CDA’s and contracts

●        Maintain the calendar of strategic partner meetings and calls

●        Maintain shared drive

●        Ensure company websites are maintained (LinkedIn; CODA website)

●        Detailed attention to varying time zones is essential, as well as coordination with personal calendars

●        Work with Office Manager to order supplies and snacks

Education, Experience, & Skills Requirements

●        BS/BA is preferred

●        Must have 5-8  years of administrative experience, with at least 3 years’ experience supporting high-level executives

●        Must have advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint  

●        Position requires exceptional communication skills, both written and oral, and the ability to represent the Executive in a professional and responsible manner

●        Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high degree of professionalism and confidentiality

●        Must be self-directed and work to achieve objectives with little oversight

●        Expert in multi-tasking, organizing, and prioritizing is critical

●        Strong detail-orientation and decision-making ability

●        Strong computer skills, including all MS Office applications
