Position Summary:

Provides administrative support to functional directors and VPs, including company officers and executive committee members. Requires thorough knowledge of company operations, policies and procedures. Handles details of a highly confidential and critical nature.

Essential Functions:

Effectively provides support to assigned directors and VPs, and exercises good discretion and judgment with regard to involving them as necessary.
Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
Provide high level and comprehensive administrative support to assigned directors and VPs, including heavy calendaring and complex travel plans and agendas.
Provide support for HR recruiting coordination and hiring efforts.
Field calls and use discretion to determine who should be on calendar.
Coordinate meetings, documents and other aspects of multiple project teams.
Collect and prepare information for use in discussions/meetings of executive staff and outside individuals.
Provide coordination and support for key external company meetings (for example industry conferences, ad boards, vendor meetings, FDA and ex-US regulatory meetings). Make high-level contacts of a sensitive nature inside and outside the company.
Ability to develop, implement and understand general company operations, work flows and procedures as appropriate.
Ability to work autonomously to manage quickly changing priorities and keep everything running smoothly and effectively.
Provide full back up support for Chief of Staff, including directly supporting executive committee members.
Assist with contract administration.
Assist with project tracking and project status updates.
Coordinating and planning events.

Preferred Experience:

Strong skills on Microsoft Word/Excel/PowerPoint.
Google for calendaring and contacts.
Online travel systems and other intranet business tools a plus.

Preferred Education:

B.A. Degree is preferred.
