Essential Functions:

Processes and prioritize open orders such as lab supplies and lab equipment to ensure outsourcing, fulfillment, and delivery.
Process new and change orders for Subscription/ Software Licenses, IT products, and non-clinical or other corporate services.
Reviews purchase order and associated contracts for conformance to company policy.
Follow internal and government compliance using established internal control procedures, such as evaluating related vendor quotes and reviewing and clarifying contract aligns with requisitions prior to placing order and creating Purchase Orders. Communicate and clarify discrepancies to Contracts.
Coordinate with Accounting and Vendor Accounts; related to new vendor onboarding, Tax documents, deposit payments, or invoicing troubleshooting.
Support of existing Purchase Order; for requested revisions, troubleshoot existing order issues, and product returns. Work with Shipping/Receiving for priority orders, equipment deliveries, and consumable returns.
Assist with monthly reconciliation of procurement card transactions to online statements and maintain supporting documentation, such as order confirmations, invoices and receiving documents.
Participate and assist with regular scheduled updates and reconciliation of open orders vs. related contracts requests.

Preferred Experience:

3-5 years related experience in purchasing, shipping and receiving
3.5 years related experience in FDA-regulated environment preferred
3-5 years of purchasing/supply chain experience preferred, trainability required
Detail oriented, able to focus in a fast-paced environment with minimal supervision
Expert communicator and analytical thinker; able to understand complex subjects, identify comparable data points, and clarify
Strong time management and task prioritization skills required
Superior interpersonal and communication

Preferred Education:

HS diploma or equivalency

Preferred Additional Skills:

Basic computer skills with proficiency in Microsoft Word, Excel and Outlook required
Experience in operating office equipment
Ability to lift 10-25 pounds occasionally
Ability to prioritize and organize workload
Self-motivated and reliable
Prior experience with ERP systems preferred
Excellent communication, interpersonal skills, and negotiation
